Customer (Alıcı): the natural or legal person whose details are entered at checkout and confirmed by e-mail or WhatsApp. Hereafter "you". Where you act for purposes outside your trade or profession you are a consumer under Law 6502; where you act for a business, the consumer-specific provisions (arts. 9–12) apply only to the extent the law requires.
2. Subject of the contract
2.1 The subject is the service identified in the order summary by name, scope and price: Belge hazırlama, randevu organizasyonu ve işlem takibi hizmeti — document preparation and process coordination — as described on the relevant service page of this website on the order date, which forms part of this contract.
2.2 The service consists, as applicable to the order, of: translation by a contracted translator; booking of and attendance at notary, authority, registry or bank appointments as your assistant and interpreter; collection and delivery of documents; preparation of checklists, data packs, draft letters and application-support materials for your own submission; coaching on the completion of forms you submit yourself; monitoring of deadlines you are responsible for.
2.3 The service expressly does not include: notarial acts; legal advice or legal opinions of any kind; filing of residence-permit, work-permit or other applications in our name or on your behalf; accounting, tax or customs-broker services; representation before any authority; collection or payment of any state fee, notarial tariff or third-party professional fee; any promise regarding the decision of an authority, bank, notary or registry.
3. Price and payment
3.1 The price is the ROSTU fee shown in the order summary, in Turkish lira, including KDV. It is fixed for the scope ordered. Delivery is a separate line where selected.
3.2 State fees and third-party professional fees shown in the order summary are informational. They are payable by you directly to the state body or professional concerned, against their receipt, and are not part of the price under this contract. ROSTU does not collect, hold, advance or refund such fees.
3.3 Payment is made before performance begins, by card through a payment institution licensed by the Central Bank of the Republic of Türkiye, or by bank transfer to the account stated on the invoice. An e-Arşiv or e-Fatura invoice is issued in the name you provide.
3.4 If, during performance, a change of scope you request increases the price (for example additional pages, persons or documents), we notify you of the new fee and proceed only on your confirmation.
4. Formation of the contract
4.1 Before payment you are shown the pre-contract information required by art. 5 of the Regulation, in the language of the order and in a form you can save. You confirm that you have read it. The contract is formed when you confirm the order and your payment is authorised.
4.2 Confirmation of the contract, including this text and the order summary, is sent to your e-mail or WhatsApp in a durable medium immediately after formation (art. 7).
5. Performance
5.1 Our own turnaround times are those published on the service page (for example three business days for a standard notarised translation). They cover our work only. The timing of notaries, authorities, banks and registries is outside our control and is not promised.
5.2 Performance requires your cooperation: legible documents, accurate information, attendance in person where the law requires it, and payment of state and professional fees when due. Delays caused by missing cooperation extend our deadlines accordingly.
5.3 Where a document you supply appears altered, illegible or inconsistent with your identity documents, we may suspend performance and inform you. We do not translate or process documents we have reason to believe are forged.
5.4 Documents are delivered by hand within İstanbul by our staff, by a licensed carrier contracted as your carrier, or collected by you from our office. Risk in physical documents passes on delivery.
6. Right of withdrawal
6.1 If you are a consumer, you may withdraw from this contract within 14 days of its formation without giving reasons and without penalty, by notice to [email protected], KEP [address], or WhatsApp +90 537 978 50 88. A model form is on the withdrawal page.
6.2 Early start and the exception in art. 15/1(h). If you ask us to begin performance before the 14-day period ends, and you give your explicit, separate consent at checkout acknowledging that you will lose the right of withdrawal once the service has been fully performed, then the right of withdrawal no longer applies to the service performed. Where you withdraw after performance has begun but before it is complete, you pay for the part performed in proportion to the total price, and the remainder is refunded within 14 days.
6.3 Refunds are made by the method used for payment. Fees you paid to the state, a notary or any third party are outside this contract and cannot be refunded by us.
7. Our responsibility
7.1 We are responsible for performing the service with the care of a prudent professional: accurate translation, complete document sets prepared against the checklist agreed, appointments booked as agreed, deadlines we undertook to monitor actually monitored. Defects in our work are corrected at our cost; where correction is not possible, the fee for the defective part is refunded.
7.2 We are not responsible for the decision, delay or requirements of any authority, bank, notary, registry or professional, for the consequences of information you provided that was incorrect, or for documents you were required to obtain abroad.
7.3 Our total liability under one order is limited to the ROSTU fee paid for that order, except for damage caused intentionally or by gross negligence, and except where the law does not permit limitation.
8. Personal data
Processing of your personal data is described in the privacy notice (aydınlatma metni), which you acknowledge separately. Where processing requires explicit consent (special-category data, cross-border transfer), it is requested in a separate consent text and is not a condition of this contract unless the service cannot be performed without it.
9. Complaints and disputes
9.1 Complaints: [email protected], KEP [address], or +90 537 978 50 88. Acknowledged within one business day, answered within two.
9.2 Consumers may apply to the Tüketici Hakem Heyeti of the district where they reside or where the transaction took place for disputes within the monetary limits announced annually by the Ministry of Trade, and to the consumer courts above those limits. Business customers: İstanbul courts and enforcement offices have jurisdiction.
9.3 Turkish law applies. In case of conflict between language versions the Turkish text prevails.
10. Records
We keep records of this contract, the pre-contract information, your confirmations and consents for three years (Regulation art. 20) and, where Law 6563 requires, transaction metadata for ten years. You may request a copy at any time.
